Our Policies
ReservationsEach reservation requires a deposit to hold your date. Date changes may be made 14 days prior to the event date for any other open date during the next 90 days. Cancellations within 14 days of the event will forfeit the deposit. See weather related cancellations below.
PricingPricing will vary depending on the location of the event and the options you request.
Film LicensingOnce you have selected a movie, we will assist you in acquiring the movie and the legal permission to screen it at your event. As the equipment provider we can not obtain the license for you. It must be acquired by the end user. We will provide you with a contact number to acquire the license. Movie licensing must be completed before you begin advertising your event. The media must be provided in DVD format, if you are not sure if your selection is available on DVD let us know and we will find out for you. Some film makers, such as Disney, have restricted the use of their films in outdoor settings. If you intend to charge admission at your event, certain restrictions may apply. Restrictions vary according to the film choice and its distributor. Advertising restrictions may also apply.

Other MediaWith advanced notice Cinema on Site can also show VHS. Cinema on Site can assist you in turning your pictures, videos or presentations into DVD format films.
Weather PolicyIf weather prevents the complete screening of the film: Cinema on Site guarantees one make up event within 1 year of the original event. You will be charged travel costs to and from the event. You will be charged for the staff hours for the event. You may change your date with no penalty to another open date if inclement weather causes cancellation prior to our traveling to your location. If the weather looks threatening; including: threatening thunder clouds, rain, imminent rain, heavy winds) or any other weather condition that Cinema on Site deems capable of damaging equipment, Cinema on Site reserves the right to cancel, suspend or delay the event until favorable weather conditions exist.
Setup / Take-Down ProceduresCinema on Site will arrive about 1 - 1.5 hours prior to the start of the event. The screen and audio equipment will be completely setup and operational 30 minutes prior to the start of the event. Projection test will begin at dusk. The screen will begin to deflate 15 minutes after the conclusion of the event. Unless otherwise requested. All equipment will be removed within 1.5 hours after the end of the event.
Power RequirementsThe complete setup requires two (2) 15 amp power circuits. One for the screen/audio and one for the projection equipment Additional power may be required for concession equipment (if requested)
Deposit / PaymentA 50% deposit is required at the time the reservation is made, this deposit is non-refundable. The remaining 50% is required at the time of arrival to the event location.
